A lead comes in from Zillow at 7:42 PM. Your CRM logs it, assigns it, and sends you a notification. You see it at 7:58 PM. By then, the lead has already talked to someone else.
The 5-minute rule is real
MIT’s Kellogg School ran the numbers: leads contacted within 5 minutes are 100x more likely to qualify than leads contacted after 30 minutes. In real estate — where a buyer is simultaneously browsing Zillow, Realtor.com, and three agent websites — that window is even shorter.
The average real estate agent response time is over 40 minutes. The agents in the top 10% respond in under 5.
The difference isn’t hustle. It’s infrastructure.
What Follow Up Boss actually does (and doesn’t do)
Follow Up Boss is a great lead routing and pipeline tool. It pulls leads from Zillow, Realtor.com, your website, and Facebook, assigns them to agents, and tracks where every deal stands. It’s well-built for what it does.
What it doesn’t do: make the call.
When a lead lands in FUB, the sequence is: lead arrives → gets assigned → agent gets notified → agent opens FUB → agent dials manually from their phone. That gap — between notification and dial — is where deals die.
You can integrate a power dialer with FUB. Kixie, Aircall, and PhoneBurner all have FUB integrations. But that’s another tool, another login, another monthly line item, and another place where calls don’t automatically get logged back to the contact record with transcription and notes.
What changes when the dialer is inside the CRM
Tower CRM has a built-in dialer. When a lead comes in, the flow is different:
- Lead arrives → instant SMS fires with a “just got your info, calling you now” message
- Agent gets a call task in the queue, already prioritized
- One click to dial from the contact record
- Call is recorded, transcribed, and summarized automatically
- If no answer, voicemail drop fires — the agent is already on the next call
The agent isn’t switching between a CRM tab and a dialer tab. There’s no manual logging. The contact record has the full call history the moment the call ends.
For a small team, this matters more than it does for a large one. A large team can absorb response lag because volume covers for it. A small team of 2–5 agents can’t — every lead matters, and every slow response is a deal you handed to a competitor.
The setup that closes the gap
Tower CRM’s lead-to-call workflow: new lead triggers an instant SMS, creates a call task in the agent’s queue, and opens a one-click dial from the contact record. Calls are logged with AI transcription and summary. Voicemail drops are pre-recorded and fire automatically on no-answer.
Response time drops from 40+ minutes to under 2.
The call quality problem
Speed matters. But so does what happens on the call.
When an agent calls a lead back 40 minutes later, they’re starting cold — they don’t remember which listing the person was looking at, what price range they mentioned in the form, or if this is a first-time buyer or an investor. They’re scrambling to pull up the lead record while the prospect is already skeptical about why it took so long.
When the call fires within 2 minutes and the agent has the full lead context on screen — property interest, source, any prior interactions — the conversation is different. The agent sounds prepared. The prospect feels like they’re talking to someone, not a call center.
Tower logs every touchpoint — web form submission, SMS exchange, prior calls — so the agent opening a contact record before a call sees everything in one place.
What to stop doing
If your team’s current setup involves:
- Waiting for FUB notifications and manually dialing
- Logging call notes by hand after the call
- Running a separate power dialer that doesn’t write back to the CRM
- Missing leads that came in after hours because no automation fired
…the fix isn’t a better notification. It’s moving the dialer inside the CRM so the two aren’t separate systems that need to talk to each other.
